Our Town Hall Meeting held Nov 18, 2014 Thanks to everyone for coming to the Town Hall meeting. In spite of the frigid temperatures we had an excellent turn out. To recap some of the topics discussed at the meeting; Who was invited to attend: Flyer notices were placed at doors/mailboxes of the members' units. Postcards were mailed to the absentee owners. A letter of invite was dropped off at the Metro Associates' office.
When asked of everyone in attendance, no one identified themselves as being from the property management, board of directors or maintenance company.
How this all started:
The website (this one) was created with one purpose. After years of attending the annual meetings and hearing the same complaints and concerns voiced repeatedly, this website was created to pose one simple question. "What do you think?" - What do you think about the current Board of Directors?
- What do you think about the Property Management Company?
- What do you think about the Maintenance Company?
It turned out, the answer was a resounding long-term dissatisfaction and a desire for change.
Elections:
State law (and our ByLaws) requires elections to be conducted at the annual meeting. Currently, the 1985 amendment to the ByLaws, set the term of office for the Board of Directors to be 3 year terms. Any election that does not occur when required, must be completed as soon as possible. Due to violation of this required election mandate, the current board of directors are improper, due to the lack of elections for many years.
The upcoming annual election must be defined in the notices to the owners, for the purpose of election of a Board of Directors. If this is not done, by the current directors, then the state will be requested to appoint an overseer to guarantee the election process is completed, per state laws.
Candidates for Board of Directors:
A list of five new candidates have been assembled, from a members who are long term owners, who have a wide variety of backgrounds centered around business, financial management, construction, utilities and more. It was explained that this was not the only candidates available. The election could result in a completely new Board of Directors, or a mix of new and existing. It would all be determined by the election. Everyone was also requested to provide names of all additional candidates to be included with our list. The completed list would be provided to all the owners, as well as, submitted to the current board for inclusion in the election.
What could be expected from an elected Board of Directors:
1. At least quarterly meetings. 2. Regular updates on current financial status. 3. Voting by the association on new contractor proposals. 4. Real involvement and input in the association.
Rumors and Mis-informations:
1. There are no personal vendettas.
2. There is no proposed management company. There have been talks with other companies, for the purpose of learning options and in order to be prepared, should the current property management not wish to work with a new elected Board of Directors.
3. Proxy forms. (a) The general proxy form that was circulated by George Bischoff. It was mis-represented as being from Burnt Tavern Manor Association, and included false information to coerce absentee owners to sign. This mis-representation violating state laws governing proxies. It being a 3 year assignment of voting right to be voted as Mary Anne Hayes decides. (b) Our specific proxy, in comparison, requires up to five distinct votes by each person signing. Regardless of how each vote is cast, all proxies will be delivered as decided by the voter.
4. The only real agenda, by our group, has been to have an elected Board of Directors, elected by the members of the association. To elect a Board separate from the vendors, in order to eliminate the extreme "conflict of interest" that currently exists.

There are great positive strides going on within the development. Getting involved, being aware and changing things for the better is the right course. I am thankful for what Dennis has started and relentlessly working on. I know with the support of everyone residing or having rentals in Burnt Tavern Manor it will turn back into a neighborhood, as it was years ago and improve the equity in our homes.
